When to push back
Not every questionnaire deserves a faster response. There are situations where the right move is to push back, not answer faster.
The questionnaire is asking for the wrong thing. Some buyer security teams send a questionnaire designed for an infrastructure provider when you're a SaaS application. The right answer is: "we'll send you our SOC 2 Type II report and address any specific questions, but the questionnaire as written doesn't apply." Most reasonable security teams will accept this.
The questionnaire is custom and you have a SOC 2. "Here's our SOC 2 Type II report, which addresses 80% of these questions. We're happy to answer the remainder." Saves both sides time. Sophisticated buyers prefer this.
The deal isn't real yet. If you're getting a 300-question questionnaire from a prospect who hasn't seen a demo, the prospect isn't ready. Answering at length is a waste. Ask the AE to qualify first.
The buyer is a 1-person company asking for SOC 2 Type II. Sometimes the fit is wrong. It's OK to say "we don't have a SOC 2 Type II yet, but here's our trust portal with our current security disclosures. Let me know what specific concerns you have."
The metrics worth tracking
If you want to know whether your questionnaire process is improving, track:
- Average time per questionnaire. Total person-hours from intake to send.
- Reuse rate. What percentage of answers came from the knowledge base vs. were written from scratch.
- First-pass rate. What percentage of buyer questions get answered without a follow-up.
- Cycle time impact. How many days does security review add to your average sales cycle? Compare to baseline.
Most teams have no idea what these numbers are. Once you measure them, the slow patterns become obvious.
